Your sheet and SchoolMint disagree

Once a day Elira compares your tracker against SchoolMint and lists every student the two disagree about — and pauses chasing a family your sheet says is already done.

Most front offices work in a spreadsheet. SchoolMint is the system of record, but the sheet is where the day actually happens — so the two drift apart, and when they do, Elira can end up chasing a family for paperwork they handed in last week.

Once a day, right after the roster sync, Elira reads your tracker and compares it against SchoolMint. Anything the two disagree about lands on your daily digest.

What Elira does and does not do

The four things she can tell you

Your sheet is ahead. Your sheet says a family is further along than SchoolMint does — registered in the sheet, still "offered" in SchoolMint. This is the one that matters, because Elira would otherwise keep chasing them. If your sheet is right, update SchoolMint.

SchoolMint is ahead. Nothing is being chased wrongly — Elira already works from SchoolMint. Your sheet is just behind.

In one system only. A student in your sheet but not in SchoolMint is invisible to Elira, so they are getting nothing from us. A student in SchoolMint but not your sheet means your sheet is missing a row.

Could not be matched. Two students with the same name in the same grade are never guessed at — they are listed as unclear instead. Adding a Student ID column fixes this permanently.

What happens when your sheet is ahead

Elira pauses outreach to that one family while you check, so nobody gets chased for something they have already done. Nothing else is affected — every other family carries on as normal.

That pause lifts by itself after 7 days. If nobody has confirmed which system is right by then, Elira starts contacting that family again. We would rather contact a family twice than quietly lose them.

The disagreement itself does not expire. It stays on your digest every morning until somebody settles it.

Settling one

Every disagreement on the digest has a link. Open it, add your name, and choose:

Your name and what you found are recorded either way, so months later the record shows who decided what.

Disagreements also close on their own the moment the two systems come to agree — no click needed.

"We could not read your tracker"

Every school organises its sheet differently, so Elira works out which column is which by reading your header row — never by position. If she cannot find a column that reads as a registration status, she stops and asks rather than guessing, and the digest shows you exactly what your header said.

The fix is usually renaming one column to something like Seat Status, Registration Status, or Enrollment Status. A Student ID column is the single best thing you can add: it makes every match exact.

She only ever reads the columns she has identified — student ID, student name, grade and status. The rest of your spreadsheet is never requested.

Nothing here needs setting up. If your Google Sheet is connected in Settings, the comparison is already running — check tomorrow's digest.
