Use the enrollment workspace

Find each student’s next step, staff tasks, imports, documents and registration from Enrollment.

Open Enrollment, choose a stage, then select a student. The record shows messages, documents, activity and the next school action.

Import and review students

Use Import students to upload and review a school list. Importing saves records and sends no messages. Student-specific messages have a separate review and sending confirmation.

Founder Quick test

In the mock school's founder-only Enrollment Test tools drawer, Quick test appears first. Create a fictional Grade 6 student using your saved verified test contact, then use Call me now, Text me or Email me. Each click authorizes one action. Calls keep contact-hour, opt-out and active-call checks. For a waitlisted fictional student, the button first prepares an eligible seat offer; Waitlist itself never receives AI calls. Accept and Decline use the secure family response path; a waitlisted test student needs an eligible school seat offer first. Send question uses the approved founder family conversation and displays Elira's reply. Closed enrollments answer test questions on screen while their terminal outreach gate stays in place. More test controls contains the previous setup, timing, verification and review tools.

Reach staff work

Use Staff tasks beside Needs you on Enrollment to review open assignments. Open tasks can pause messages for their assigned students. The Needs you area below the header lets staff link received family replies to the correct student or record why a message is not an enrollment reply. Held messages lets staff choose a student and check the sending service’s exact attempt records without changing the roster selection. Recording a held-message result sends nothing. On a selected student, Call reviews a verified guardian’s number before opening your device’s dialer; record the actual call result afterward. Opening the dialer does not prove a call connected. Paperwork opens document checklists and review. Registration & arrival opens registration readiness and arrival work.

Record a school decision

For a Waitlist student, open Review seat offer. For an Offered student, open View offer and family response, then Review school-confirmed acceptance. Record only a decision verified against school records, with its school reference and actual decision time if known. Recording acceptance moves that student to Paperwork; it sends no message.

School settings

Choose Settings in navigation for school information, available seats and Messages & follow-ups. School administrators can review enrollment messaging approval directly on Enrollment.

Automatic seat offers and waitlist updates

In the enabled enrollment workspace, open Settings, then School & available seats to review Automatic seat offers. Auto-offer starts OFF. Only the school owner can change it, with a reason saved alongside their identity and decision time. When ON, an available seat goes to the next student with a verified school-supplied rank in that grade and campus. Tied or missing ranks create staff work. Turning it OFF stops new automatic offers. Each automatic offer identifies the owner's decision in Activity; messages still need approved workflows and all contact checks.

The first waitlist text establishes the family’s last reported position. Another status text is due only after the child moves up at least 5 places, at most once per 7 days. Smaller changes and moves down produce no status text. Waitlist follow-up never schedules or places automatic calls.

Automatic enrollment calls are available only at the Offered and Paperwork stages, within 8:00 AM–8:00 PM New York time on school days, subject to consent and current school contact restrictions. There are no automatic arrival calls at Registration complete.

Paperwork reminders run for 4 rounds about 4 days apart (the fourth round is about 12 days after the first). After the fourth round, messages stop and one staff task is created for remaining missing items or requested corrections. Later checks do not duplicate it; resolving it does not reopen it unless the paperwork state changes. An upload is not an approval: submitted and under-review files await staff review and are not chased.

For text decisions in this workspace, see Accept or decline by text in the new enrollment engine. The secure family link remains available. Staff can read the family’s actual text inline in the student’s Activity.

Review the selected student and current requirements before recording a school decision or sending a message.
